Office Manager/Executive Assistant- Healthcare Setting


The Office Administrator/Executive Assistant will report directly to the CEO and oversee all aspects of day-to-day operations of the office and office personnel.  As well as, be available to assist all executive level staff.

Office Manager/Executive Assistant Must possess the following skills and characteristics:

  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks

  • Strong interpersonal skills to interact positively with all employees
  • Leadership ability to manage challenges and oversee employees
  • Attention to detail to ensure tasks are completed thoroughly and correctly

Office Manager/Executive Assistant Responsibilities:

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Maintaining comprehensive and accurate records
  • Performing minor accounting duties
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answering phone calls in a polite and professional manner
  • Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Managing HR meetings and coordinating follow-up responsibilities
  • Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards
  • Overseeing/resolving the issues brought up by office employees and/or directing them to appropriate departments
  • Counseling any employees struggling in their roles
  • Answering telephone calls and emails from customers and clients and directing them to relevant staff
  • Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required
  • Interviewing and training new office employees and organizing their employment paperwork in conjunction with Human Resources
  • Communicating maintenance/housekeeping concerns in the office to the property management
  • Reporting office progress to senior management and working with them to improve office operations and procedures

Must have minimum of 5 years prior Office Management and/or Executive Assistant experience.  This is required
